Shannon leads a group of engineers as well as myself. I had only been with the company 2 months before all the adjustments were made. I’m so fortunate to have Shannon as my manager. She has been so patient in training me virtually, accommodating with new schedules, and has kept her cool in times I would imagine being very stressful. To see her lead a team of engineers (essential workers) and have their backs and to make sure they had all the necessary equipment for a safe work environment even when supplies were not always available, Shannon found a way. Three years ago, Hubbell first started our partnership with Building Engines with a focus on maintenance for Home Owner’s Associations and Commercial Property. Kimber was instrumental in the setup and training of the property management team and had the drive and ambition to keep us all on track. Kimber offered one on one training as well as classroom training as she understood that everyone learns at a different pace. In the first year, she had property managers and maintenance trained on the work order system and documented Best Practices. She continued with inspections and preventive maintenance for all the properties and continues to add to the list and on-board all new properties.
Building Engines is used to track maintenance time and Kimber works diligently with Hubbell Accounting to make sure hours are being billed.

She has a good eye for detail and started showing Hubbell Management ways the system could be used by several departments. Today, we have added Hubbell Homes owner warranty so information flows seamlessly for the home owners. Kimber has trained others how to set vendors up in BE so they can be sent work orders and progress can be tracked.

Currently, she is working with Hubbell Construction and Property Management to develop a process for the hand-off and tracking of warranty information. In the past, we’ve scrambled to communicate and get our hands on needed items when selling and refinancing properties. I know that once Kimber has the process written and the setup in BE, it will make life much easier for both departments.

When Hubbell first purchased Building Engines, for tracking property maintenance and billing purposes, we did not know that it would be expanded to touch most of the business units within Hubbell. Due to Kimber’s dedication, getting to know and understand BE, she has been able to streamline communication between departments, greatly improved our customer service. When Melissa joined our team one year ago, we were limping along, in desperate need of a strong administrator. Someone who could clean up our act, organize our chaos, and walk on water. Melissa launched into all of our on-boarded Building Engine assets; roughly 1000 open PM’s. With rigor, Melissa reviewed deviations in existing vendor schedules and scope of tasks, located expanded service reports and worked closely with Joe Reesman, to address deficiencies and discrepancies. On March 3, GA announced its first 2 cases (father & son) of COVID19. The morning of March 4, Lisa got a call from a tenant that one of the spouse of one of their employees works with one of the confirmed person and had been exposed. At that time, information on COVID19 and COVID19 protocol was rapidly changing – hourly it seemed, but Lisa quickly led her team into action to sterilize the building to keep the tenants and her team safe. She made sure her team was using proper protection equipment and disinfecting procedures, as well as communicating with tenants in the building as to what was occurring. In the days that followed, Lisa received similar calls at other buildings she manages – tenant employees who had tested positive. She handled each incident quickly and professionally and in a manner that calmed the tenants. Her team and tenants trusted her knowledge and experience, as did her owners!

Carmen Morales joined the 6400 Fannin (Memorial Hermann Medical Plaza) team in March 2019. She has been instrumental in the following:

-PayScan: In order to ensure that invoices are not duplicated or uploaded to the incorrect building, Carmen manually enters the invoices into PayScan for processing. This has reduced the number of missing invoices, as well as increased the promptness of payment to vendors.

-AP Email Address: Carmen set up an email for vendors to send invoices to in order to ensure that everyone in the office can access the invoices and that no invoices will be in a coworker’s inbox, while they are on vacation. This process has streamlined efficiency.

-Digital Directory Board: Meeting the tenants in their suites and/or capturing the tenants when they visited the Management Office, Carmen was able to amass a complete listing of the tenants within 6400 Fannin, in regard to adding them to a digital directory board (which will be installed in December 2019). Over 200 doctors and practitioners will be added to the digital directory board.

-Tenant Events: In coordination with Ice Cream Party, Carmen has planned and set up the building’s first tenant event, which was held in September 2019. Over 350 tenants attended and gave positive feedback. In addition, seven tenant events have been budgeted for 2020.

We changed over our tenant work order system in late 2019.

The previous software we utilized was so difficult to use that it basically scared away our tenants from placing work orders. Rather than use the system, tenants on the regular would call the management office and would call in issues making us work double the time and losing productivity on more important issues.

When we launched BE it came with its learning curve but ultimately it changed the way our tenant work order portal system should be, self-reliant and self-guided.
Our tenants began using the portal to enter their work orders. We received great feedback and it really helped the management team, including myself stay up to date, keep tenants happy and the maintenance help accountable ensuring all critical items be completed in a timely fashion.

I come in to work and right away log in and can see what’s been created and completed. The software lets me sort out and reassign work orders to stay efficient. It has improved my productivity and increased my motivation. Tackling a lot of responsibility as the project quarterback and the best part keeping tenants up to date by using the broadcast message portal for events and latest COVID news.

The incident report portal is great for my security team to add real time photos and generating timely incident reports to upper management to avoid unwanted liabilities and costs.

The mobile app is so well put together that I can create a work order in about 20 seconds WITH attachments, it’s just amazingly fast! Building engines has saved my butt!

Elwood really stood out this year through this entire pandemic by coming into work everyday and assisting our skeleton crew when he was asked to stay home – he helped maintain our entire campus. He has been available on all weekends, we had a buss duct riser blow up and shut 1 of our buildings down he showed up and stayed 10 hrs assisting to get the building back online. Charles is our environmental services manager. He is over maintenance and housekeeping/laundry as well. He has been working at this facility for over 29 years. He knows the facility intimately and can tell you the little things that make this facility run well. In our last survey, we were deficiency free in regards to our emergency preparedness and making sure we are on top of the latest guidelines in keeping us safe. It takes hard work to keep a facility built back in the 1960’s up to date, and Charles is the best. He fills in for whatever role he is called to that day, from landscaping to floor technician, from laundry and fixing a washing machine to checking the electrical and repairing a light. He rarely calls for an outside source to do a job for him. I do not believe that there is anything associated with our building that Charles could not fix and remedy. He is my maintenance/management hero.

Sam had recently taken on overseeing all the engineers at 19 buildings prior to March – GA COVID19. He had been working with the engineers on their skills and with training classes. Sam was able to unite all the engineers and make them into one cohesive group that works together for the common goal – keeping our tenants happy and safe. With COVID19 occuring, Sam was able to quickly make sure all the engineers had the proper PPE and proper protocols surrounding COVID19. He was able to instruct them on how to prolong the use of their PPE should their supplies run low, as was occurring around the nation. Sam has been at the properties everyday during the shelter at home, making sure they are running smoothly. All the engineers respect him and his knowledge of systems and how to make them run as efficiently as possible. The tenants are always making wonderful comments about Sam and his team of engineers!

Sam is the Regional Chief Engineer to a group of engineers working in over 2 million sf of office space. In addition to his regular duties, Sam has been instrumental in implementing the ever changing COVID 19 protocol. His main focus is the health and well being of his team and our tenants. He is a great leader who always steps up and leads by example. He is a great teacher and inspiring leader with his always positive attitude. If there were ever a Marvel superhero created with a superpower for maintenance work our day porter, Kirk, would be the inspiration behind it. In fact, around our building he is known as Captain Kirk. His nickname is one small testament to how comfortable his co-workers are around him. Kirk’s jolly disposition and his can-do attitude makes him a person you enjoy working with. He has worked at the building for over 30 years and all our tenants are friendly with him. They are so friendly that they have no problem going directly to him for issues because they know he will get it done. His knowledge of the building has always been a resource for when we have questions or want to take on new projects. He brainstorms and presents ideas on what he thinks could be a good addition, improvement, or helpful to the building. One example of Kirk’s initiative is during the shelter-in-place order, while the building occupancy is low, Kirk took it upon himself to begin improving our stairwells by cleaning, painting, and replacing lights. This may seem simple but there are three stairwell paths in our 41-story building which makes it a sizable project! Kirk also puts a lot of care into his job. There have been multiple instances where he asked the office to make a sign that looks ‘more professional’ than something he could just write on a piece of paper. He cares about the message the building sends when you are walking through it, right down to each piece of paper on its walls. We can always count on the lines of communication being consistently open, even if it is after hours. If we have questions when Kirk is off work, it is not uncommon for us to get an answer quickly. It is almost as if he has a superpower where he anticipates everyone’s needs! We are constantly impressed with the passion Kirk puts into his job. Not to mention how incredibly thankful we are to have him on our team. Although Kirk isn’t out there beating up bad guys, he is a hero everyday to us!

I would like to nominate Jason Leamon for Building Engines’ Maintenance Hero Award. Jason was responsible for the maintenance operations for close to 800,000 square feet in four of the office buildings I used to manage. Jason was known for his thinking “outside the box” in getting things done and doing a job done well the first time. Jason was more of a preventative type personality – always thinking how he can do things better. He helped with maintenance repairs, replacement and preventative care on a daily basis. He ALWAYS wore a smile on this face. He did well with Capital building renovations, tenant build outs, roof replacements, Statue of Liberty renovations, patio renovations, Lighting upgrades, securing low hanging fruit in energy savings and more. He was always a team player. I hear he continues to have this same passion for delivering great service at another property we manage. He will greet you with a smile or a call if you’re at another property, and check in to see if you need anything. He brings in food he makes at home and shares with everyone.

Francisco is our Building Engineer at a high profile property in Downtown Silver Spring. Francisco, since the onset of the pandemic, has stepped up to assist with motivating the team, pitching in to cover tenant shifts, overtime, and help to make sure our teams are safe and following policies and procedures.

He has recently sent videos uplifting and motivating others to keep our team encouraged. He offered to be on call for a property because he lived closer and can get there before the other engineers.

He took initiative in preparation of our signage and already started creating the markings for our 6 ft. office space and throughout the facility in an effort to prepare for tenant reoccupancy. His amiable manner is so pleasant and he is calming in the midst of chaos. It is such a breath of fresh air especially during times of uncertainty and turmoil. For this, Francisco Ovalles is our Property Hero!

Chris is always on the ball with every project and the tenants feel like he is always there for them. He has stepped in when we have been without a chief engineer. He is a joy to be around and works hard to keep our campus in great condition. He is a true hero!

Tim is our building supervisor at our corporate office. We have had many issues at the building such as chiller replacement, fitness center renovation, HVAC issues regularly due to capital need etc. Tim has replaced many portions of the irrigation manually to save ownership monies alongside painting projects, retrofitting vav’s etc. My estimated savings vs. using contractor is over $50,000.00. We had a large power outage in 2019 and Tim manually carried fuel to the rooftop generator up 9 flights of stairs all night long until power was restored. There is not a better person and team player out there. I recommend Tim for this honor.

Johnny is always going above and beyond and out of his way to fix and repair things that are broken at our facility. He goes out of his way for our patients, stopping to help them getting what they need when our nurses or CNAs are busy helping other residents. He is always praying with them or for them in time of need. He volunteers his time to come sit with them on his days off. Overall just a great worker.

Chief Engineer Shawn Whisman is dedicated to his (jobs). Shawn is in charge of many BMR facilities, I cannot count how many buildings Shawn is running. Does Shawn ever rest? NO!. Shawn never complains, he just does his job. Shawn does the job of 12 men all wrapped up in one person. Shawn never ceases to amaze me, Shawn has no problem giving me a helping hand when needed, Shawn has reached to me letting me know I can count on him if needed.
